Adding Vehicles to your Fleet
Vehicles & Services - VehiclesOpening the Vehicles & Trailers window will show you a list of all current vehicles and information about upcoming or expired events, e.g. MOT, Service. Clicking on “New” will create a blank line at the bottom of the list ready for data input.

Reg No/Trailer No | Enter the Registration or Trailer number of the new Vehicle | |
Active | Tick this box to show that this vehicle is in use | When a vehicle is no longer useable, e.g. when you no longer own the vehicle, instead of deleting the vehicle it is just made inactive, this means that you will always have a history of vehicles that you have used |
Show On Mobile | Allows the vehicle details to be shown on the mobile app (this is required for the vehicle to show on Journease Mobile) | Journease Mobile users only |
Vehicle Type | Entered using a drop-down box showing the Vehicle Types that you have set up in Vehicle Types & services. | |
Trailer? | Tick this box if this vehicle IS a trailer or HAS a trailer | This will allow Journease to define which Form is required when actioning vehicle Checks |
Make/ Model/ Tel No | Enter the make and model of the vehicle and a contact number for the Supplier or Vehicle Owner | |
Next MOT/ Insurance/ Inspection/ Tax/ Service | Enter dates in the next few columns to indicate when MOT, Insurance, Inspection, Tax and Service are due | This allows Journease to keep you up to date with upcoming vehicle requirements |
Tail Lift Inspection/ Tachograph Calibration | Enter dates in the next few columns to indicate when the next Tail lift Inspection and Tachograph Calibration are needed (if required) | |
Total Miles | This show the current total mileage of the Vehicle and should be updated each day during the daily Checks | This will be automatically updated for Journease Mobile users when the checks are uploaded from the mobile app. |
Default Weight (kg)/ Payload (kg) | Enter a weight for the Vehicle (unladen) and a weight for maximum payload | |
Total Loading Meters (m2)/ Total Volume (m3) | Enter the loading space and volume for this vehicle | This will also make choosing a vehicle for a job easier as Journease can calculate load requirements for a job based on this information. |
Vehicle Check Name | This tells Journease which Daily Check Form to send to the Checker (this is required for the vehicle to show on Journease Mobile) | Journease Mobile users only - Non mobile users will use a standard form that can be printed out for all vehicles |
Mobile User Name | Enter the name for the specific mobile user carrying out the daily checks on this vehicle (as set in Lookup/Administration/Mobile App Users) | Journease Mobile users only |
Hold | When a vehicle has out of date MOT, Insurance, Inspection, Tax or Service Journease will change the relevant column for that vehicle to RED and automatically place that vehicle on hold until the fault is remedied (the Column will change to Orange when dates are approaching to give you warning), This means that Journease will not allow you to use this vehicle when creating a Job. Journease will also place a Vehicle on hold if a critical fault is found during the daily checks by clicking the Hold Vehicle tick box under the Defects section of the Vehicle check window. For Journease Mobile users this will be done automatically when the daily check app is synced. If the Vehicle is on hold because of an out of date action then updating the column will take the vehicle off hold and change the column colour back to blue. If the Vehicle is on hold because of a defect then the Hold tick box cannot be unticked from this window, to take a Vehicle off Hold the change would need to be made in the Daily Checks window (Vehicles & Services/Vehicle Checks) or the Vehicle Defects window (Vehicles & services/Vehicle Defects) |
