How Do I Create a Credit Note
Problem
I need to create a credit note for a customer that has been overcharged
Solution
If the Invoice has been processed and sent then you will need to create a credit note for the customer
To create a credit note-
- Open Action Screens / Jobs & Quotations Window
- Enter the Customer for whom you are creating the credit note
- Using the Type drop-down box in the Address Details section select Credit
- Enter the correct time and date for this credit note (by default it will show current time and date)
- Enter a reason for the Credit note, this will be included with the credit note when it is sent to the customer
- Click on the green Add button to move the credit note into the Current Route section
- Select the Financial tab on the right hand side of the Jobs window
- Enter the price in the Sales Price section ensuring that no matrices are shown, then click on Re-calc in the Jobs Costs section to update the Total Price (N.B. This should be a negative amount as it is a credit note)
- Click on Save Job to process the credit note, you will be asked a few questions- 1) Would you like to raise a Credit Note Immediately, 2) Do you wish to e-mail a credit note to "Customer accounts email address", 3) Do you want to Print the credit note
- The credit note will now be saved using the next available Invoice number (as shown in the top right of the Jobs & Quotations screen)
Note that as of Update 6.6.6.585 there is a new method that can be used to create credit notes.
- Open Action Screens / Jobs & Quotations Window
- Select the job that you wish to raise a Credit Note against
- Click on the Financial Tab on the right hand side of the Job screen
- Click on the Raise Credit button in the top right of the Invoice Details section (Note this button will only be highlighted if the job has been invoiced)
- This will automatically create a new Job as a credit note for the exact amount on the original Job
- If the Credit Note is for a different amount this can be entered manually in the Sales Price section as you would with a manually created job price NOTE:- THIS SHOULD BE A NEGATIVE PRICE
- When you save this job you will be asked if you wish to create the invoice immediately
- Choose Yes to immediately create the credit note
- Choosing No will add it to your Finance / Sales Invoices screen for processing on your next invoice run
- If you selected to create the credit note immediately, you will next be asked if you wish to email the Credit Note to the accounts email address set against this customer
- Next you will be asked if you wish to Print the Credit Note, Selecting yes will create a preview of the Credit Note that you can print or email to a different recipient.
